What's the role?
Monitors, plans and manages cash flow and treasury activities to fund the business in line with the company's business objectives. Performs the full range of taxation work including completion of tax forecasts, maintenance of accurate records and provision of advice to management on related matters. Works on complex huge designated assignments. May supervise junior and experienced taxation staff members.
The role requires a university education (master's degree) and a professional experience of 3-5 years. This role covers 3 tiers. This job profile represents tier 3 of 3.

Develops payroll tax strategy for North America, drives projects to ensure harmonization, investigates Tax notices and partners with Payroll Vendors to resolve open claims. Handles the timely preparation, processing, maintenance and appropriate distribution of Payroll Tax information, payroll Tax reports and tax year-end reports.

Here's what you'll do:

Primary Duties and Responsibilities:

  • Handles timely and accurate remittance of Federal, State, and Local payroll taxes for US entities doing business in multiple states and localities to third-party vendor.
  • Manages Jurisdiction setup with the completion and registration of all applicable forms with the state, local agencies not managed by payroll vender.
  • Maintains the accuracy and integrity of the data provided to third-party vendor.
  • Prepares, reconciles, and files the monthly, quarterly, and annual withholding and unemployment tax returns.
  • Prepares monthly, quarterly, and annual reconciliation of W2 wages (and T-4 for Canada) and withholdings for all entities, including reconciliation of third-party vendor files/reports to source system (Fidelity, ADP, OSV).
  • Reconciles all Tax 941's on a quarterly basis; reconciles monthly payroll balance sheet accounts in collaboration with the GL team; reconciles employee 401K funding on a quarterly and annual basis.
  • Maintains the payroll tax rates in Workday for all legal entities of Group Carl Zeiss in North America.
  • Manages testing of all payroll tax system upgrades and improvements in Workday prior to production implementation, including detailing of test scenarios and scripts
  • Supports Accounting Audits (Interim, Hard close, year-end), Fiduciary Audits for 401k plans (USA) & Pension Plans (Canada) and Insurance Audits for workers compensation.
  • Provides support for all payroll audits.
  • Contacts state agencies directly to resolve tax related problems, often acting as liaison between ADP / OSV and the state agency to ensure that Zeiss remains an employer in good standing.
  • Supports any Tax reporting projects not limited to acquisitions or mergers.
  • Monitors tax changes and compliance ordinances to stay relevant.
  • Backfills the payroll processing team when needed and support NDT-TESTING.
  • Drafts all tax communications for the company. Works directly with the employee to resolve any questions or issues.

Do you qualify?

  • Bachelor's degree (or equivalent payroll /accounting experience) required.
  • Minimum of seven years of payroll experience dealing with multi-state
  • Preference for work with multi-national populations, working with US and global payroll Tax at a complex global organization.
  • Extensive multi-state and local tax knowledge with proven experience with registration and updates.
  • Extensive experience working with HRM/payroll systems.
  • Workday experience strongly preferred.
  • Knowledge of In-Patriate and Ex-Patriate payroll and tax scenarios.
  • Strong project management experience including the ability to manage project plans, dependencies, critical path activities and milestones.
  • Experience in a shared services center, a plus.
  • Significant experience in excel, including advanced knowledge of VLOOKUP, Pivot Tables.
  • Knowledge of general accounting practices (e.g., journal entries, general ledger reporting).

The annual pay range for this position is $88,000 - $110,000

The pay offered for this role may be influenced by factors such as job location, scope of role, qualifications, education, experience, & complexity/specialization/scarcity of talent.
